Square Estimates

Turn a clear service quote into approved, billable work

Square Estimates gives U.S. service businesses a practical way to price work before it starts. Build an itemized quote with services, quantities, discounts, taxes, notes, attachments, and timing, then send it by email, text, or shareable link.

Built for your day-to-day

How it fits your business

A customer can review and accept the scope before any money changes hands. From there, the estimate can be converted into an invoice so the details do not have to be re-entered. That workflow fits contractors, cleaners, automotive shops, consultants, and other businesses that need a written record of what a job includes. Square Dashboard handles the full workflow, while the Square Invoices app and Square Point of Sale services mode support work from a compatible mobile device.

Key capabilities

What you can do

  • Quote the full scope in one place

Create itemized estimates with service details, quantities, pricing, discounts, attachments, notes, dates, and optional shipping or payment schedules instead of stitching together spreadsheets and messages.

  • Get a documented customer decision

Send an estimate by email, text, or link so the customer can review and accept the proposed work. The estimate is not a transaction, which keeps approval separate from payment.

  • Move accepted work into billing

Convert an accepted estimate into an invoice without re-entering customer, service, and pricing details. Eligible paid plans can automate that conversion after acceptance.

  • Offer package choices for custom jobs

Square Invoices Plus supports estimates with two to nine packages, letting a customer choose among grouped services or options. Full multi-package use is handled in Square Dashboard.

  • Keep estimate-to-payment activity connected

Connect estimates with invoices, contracts, projects, customer details, and payment tracking so a service business can see what is pending, accepted, paid, unpaid, or overdue.

Plans, eligibility, and what is gated

Square’s U.S. pricing page lists invoicing, estimates, and contracts in Square Free at $0 per month. Creating estimates requires an owner or team member with the relevant invoice permission, and Square’s support article also identifies Square Invoices Plus or Premium subscribers and sellers using services mode in the Square Point of Sale app. Paid tiers add the higher-value workflow features: multi-package estimates, automatic conversion of accepted estimates, payment schedules or milestones, and custom invoice content. Square Plus is $49 per month per location and Square Premium is $149 per month per location; Square Pro uses custom pricing for eligible businesses processing over $250,000 annually.

Software and device compatibility

No dedicated Square hardware is required to create or send an estimate. Use Square Dashboard in a web browser, the Square Invoices app, or the Square Point of Sale app with services mode on a compatible mobile device. The estimate workflow can use existing customer records and item or barcode data. Multi-package estimates have limited functionality in Square Point of Sale and are not available in the Square Invoices app, so Square Dashboard is required for full use.

Important operating limits

An estimate does not move money and does not appear as a transaction in reports. It must be converted to an invoice before the customer can pay. A single estimate can include up to 10 attachments totaling 25 MB, with JPG, PNG, GIF, TIFF, BMP, and PDF supported. Dashboard creation allows up to nine additional recipients and up to nine packages, while multi-package estimates require at least two packages. Text delivery does not support automatic reminders or additional recipients, and Afterpay does not support recurring invoices or payment schedules.

Square Estimates has a $0 entry point through Square Free invoicing. Advanced estimate workflows are available through paid Square plans or Square Invoices Plus; monthly plan prices are per location.

Requirements

  • A U.S. Square account and a linked payout method are needed to use Square’s invoicing and payment services.
  • The account owner or team member must have permission to create, edit, and send invoice estimates.
  • Use Square Dashboard, the Square Invoices app, or Square Point of Sale services mode on a compatible mobile device.
  • An estimate must be accepted and converted to an invoice before the customer can pay; an estimate itself is not a payment transaction.

Square’s U.S. pages present estimates within the broader Square Invoices product; exact feature access can vary by plan, app, account permissions, and Square eligibility rules.

Processing fees apply to the later invoice payment, not to creating or sending an estimate. Rates and plan prices were verified on 2026-10-27 and may change.

Square does not state on the reviewed U.S. pages that a dedicated Square Register, Terminal, Reader, or other hardware is required for estimates; no hardware is therefore recommended as required equipment.

Manual ACH bank-account verification availability varies by transaction and ongoing eligibility criteria.

The product page names service businesses such as contractors, electricians, HVAC, cleaning, home repair, automotive, and professional services; the related-industry recommendations are limited to matching canonical records from that evidence.

Questions

Frequently asked questions

Can a customer pay a Square Estimate directly?

No. An estimate documents proposed scope and price but is not a transaction. After the customer accepts it, convert it to an invoice; the invoice is where payment options and processing fees apply.

Do I need Square hardware to create estimates?

No dedicated hardware is required in the reviewed U.S. documentation. Estimates can be created in Square Dashboard, the Square Invoices app, or Square Point of Sale with services mode on a compatible mobile device.

Which paid features are most relevant for a service business?

Paid access can add automatic conversion of accepted estimates, payment schedules or milestones, custom invoice content, and multi-package estimates. Multi-package estimates support two to nine packages and are best managed in Square Dashboard.
