Square Advanced Access

Give every team member the access they need—and no more.

Square Advanced Access is a U.S. Square staff-control subscription for businesses that need tighter oversight as more people use the register and Dashboard.

Built for your day-to-day

How it fits your business

Owners can create unlimited custom permission sets, assign access by location and workflow, and review team activity and team-level sales reporting. Personal passcodes and optional physical badges make it easier to identify who is signing in, clocking in, issuing a refund, or changing an order. It is especially practical for a food truck adding supervisors, a multi-station restaurant, or a franchise that wants consistent controls without giving every shift lead full account access. Advanced Access is included with Square Plus or Square Premium rather than sold as a standalone monthly add-on.

Key capabilities

What you can do

  • Delegate with custom permission sets

Create unlimited custom permission sets across Square POS, Dashboard, and Team app. For example, a supervisor can receive refund or order-edit access without receiving every owner-level permission.

  • See actions by person

Use the team member activity log to review actions such as refunds, discounts, and voided transactions, then use team sales reporting to compare selling activity by team member.

  • Add a faster, more accountable sign-in

Team members can pair a physical badge with their four-digit passcode to sign in, clock in or out, and perform the actions allowed by their permission set with a tap.

  • Keep location access scoped

Square permission sets can be assigned to locations, so a team member assigned only to Location A cannot see or change Location B data. This is useful when a franchise or growing operator separates store responsibilities.

  • Use it with Square staff tools

Advanced Access sits alongside Square Shifts, Square Team Communication, Square Payroll, and Team app workflows, giving operators one connected staff-management stack rather than a separate login system.

Plans, eligibility, and setup

Square Advanced Access is included with Square Plus at $49 per month per location or Square Premium at $149 per month per location on the official U.S. product page. Square also says custom pricing may apply for larger businesses. The account owner, or a team member with permission to manage subscriptions and add-ons, can manage the subscription. Square Plus and Premium are eligible plan families; sellers on older or business-specific Square for Retail, Square for Restaurants, or Square Appointments plans may already have related advanced capabilities active, but the exact Advanced Access entitlement should be confirmed in the account.

Badge hardware and software requirements

The official U.S. Shop lists Square Team Member Badges as a 20-pack for $29.00. Badges work with Square Register, Square Stand, and Square Reader for contactless and chip; they are not compatible with Square Terminal. The Shop listing requires POS software version 6.45 or later on iOS and 6.46 or later on Android. A team member can have one active paired badge, and badges cannot be used to access the Square Team App.

What the controls do not replace

Permission sets control what an individual can see or do, but they do not turn Advanced Access into payroll, scheduling, or a general identity-management platform. Square notes that a shared team passcode cannot track sales, time, or activity by individual; use personal passcodes and individually assigned permissions when accountability matters. Full Access also excludes managing bank accounts, and team members only manage data for assigned locations.

Advanced Access is included with Square Plus ($49/month per location) or Square Premium ($149/month per location) in the U.S.; Square says custom pricing may be available for larger businesses. Physical Team Member Badges are sold separately as a 20-pack for $29.00.

Requirements

  • U.S. Square seller account on an eligible Square Plus or Square Premium subscription, or an account entitlement confirmed by Square.
  • Account owner or authorized team member with subscription-management permission to manage the service; team-management permission is needed to manage team members and badge pairing.
  • For badges: Square Register, Square Stand with built-in card reader, or Square Reader for contactless and chip; current POS software version 6.45+ on iOS or 6.46+ on Android.
  • Team members need individually assigned permissions and a passcode for person-level tracking; a shared team passcode does not provide individual sales, time, or activity tracking.

Advanced Access is not presented as a standalone monthly product; its published cost is the Square Plus or Square Premium plan cost per active location.

The $29 hardware amount is for a 20-pack of Team Member Badges, not per badge. Shipping and taxes may change the checkout total.

Square Terminal is explicitly not compatible with Team Member Badges. Badges also cannot be used to access the Square Team App.

Square states that custom pricing may be available depending on business size; verify the account-specific offer before purchase.

Advanced Access controls permissions and activity visibility; it does not itself provide payroll, scheduling, or employee-management compliance services.

Questions

Frequently asked questions

Is Square Advanced Access free?

It is included with Square Plus ($49 per month per location) or Square Premium ($149 per month per location) rather than listed as a separate free tier. Square also notes that larger businesses may receive custom pricing.

Can I use Square Team Member Badges with Square Terminal?

No. Square's U.S. support documentation and Shop listing say badges work with Square Register, Square Stand with a built-in reader, and Square Reader for contactless and chip, but not Square Terminal.

What is the difference between a shared team passcode and Advanced Access?

A shared team passcode can provide shared POS access, but Square says it cannot track sales, time, or activity by individual. Advanced Access is designed for individually assigned permission sets, personal passcodes, badge access, activity logging, and team sales reporting.
